1. Who we are

Cognimorph is a digital agency registered in Nepal and operating from Kathmandu. We serve clients in Dubai, Singapore, the United Kingdom, Australia and the United States. Cognimorph is the controller of the personal information described in this policy. You can reach us at hello@cognimorph.co.

2. What we collect

• Enquiries. When you use our contact form: your name, work email, company, website, the service you are interested in, budget range, timeline and your message.
• Correspondence. Emails you send us and our replies.
• Job applications. Your CV, portfolio, contact details and anything else you choose to send when applying through our careers page.
• Technical data. Our hosting provider records standard server logs (such as IP address, browser type and pages requested) to keep the site secure and working.

We do not currently run analytics, advertising pixels or tracking cookies on this website. If that changes, we will update this policy first and ask for consent where the law requires it.

3. How we use it, and our legal basis

• To reply to your enquiry and prepare a proposal (steps taken at your request before a contract).
• To deliver services under a contract with you or your company (performance of a contract).
• To assess job applications (steps taken at your request, and our legitimate interest in hiring).
• To keep the website secure and prevent spam and abuse (legitimate interests).
• To meet legal, tax and accounting obligations (legal obligation).

We do not sell your personal information, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

4. Who we share it with

We share personal information only with service providers who help us run the business, and only as far as needed for them to do so:

• FormSubmit (formsubmit.co), which delivers contact-form submissions to our inbox.
• Our email and workspace provider, which stores our correspondence.
• Our website hosting provider, which serves the site and keeps server logs.
• Professional advisers, and authorities where the law requires us to disclose information.

5. International transfers

Our team is based in Nepal and some of our providers operate in other countries, including the United States. Where personal information from the UK, the EU or other regions with transfer rules leaves that region, we rely on appropriate safeguards such as the provider’s standard contractual clauses.

6. How long we keep it

• Enquiries that do not become projects: up to 24 months, then deleted.
• Client project records: for the length of the engagement plus the period required by tax and accounting law.
• Job applications: up to 12 months, unless you ask us to delete them sooner.

7. Security

This site is served over HTTPS with a strict content security policy, and we limit access to personal information to the people who need it. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the relevant authorities of a breach where the law requires it.

8. Your rights

Depending on where you live, including under the UK GDPR, the EU GDPR, the Australian Privacy Act, Singapore’s PDPA, the UAE’s PDPL and US state privacy laws such as the CCPA, you may have the right to:

• access the personal information we hold about you;
• correct information that is wrong or incomplete;
• ask us to delete it, or to restrict or object to how we use it;
• receive a copy in a portable format;
• withdraw consent where we rely on it.

Email hello@cognimorph.co to use any of these rights. We reply within 30 days and will not treat you differently for asking. You can also complain to your local data protection authority.

9. Cookies and browser storage

The site sets no cookies. It saves one item in your browser’s local storage, your light or dark theme choice, so the site looks the way you left it. It never leaves your device and you can clear it at any time in your browser settings.

10. Children

Our services are for businesses. We do not knowingly collect personal information from children under 16.

11. Changes to this policy

We will post any changes on this page and update the date at the top. Significant changes will be highlighted on the site.
